A&V Task List

AESTHETIC & VALUES COMMITTEES

In-class committees will be created to address different facets of the exhibition planning. Ideally, students working with the same artist will be on different committees. This will open students up to other peers and allow for the entire class to cooperate and interact with one another more fully.

Each committee will elect a chair to preside over the committee’s tasks. The chair will work closely with the Professor.

A&V FUNDRAISING COMMITTEE Students in the Fundraising committee solicit funds and/or sponsorship to finance the A&V exhibition.

A&V Fundraising Committee Chair (1 student) The Chair is elected by members of the Committee. The Chair will schedule and manage Committee meetings.

A&V Accountant (1 student) Determine a budget and regularly track income and expenses for the A&V Project on Google Drive. The budget should be drafted and calculated by the entire class based on the needs of the particular exhibition, but it will be the budget committee’s responsibility to carry out the terms of the final budget. The best way to draft a budget is to list necessities and additional options. Students should consider class size, time, economic conditions, and other factors before listing and attempting to carry out goals. The one major financial requirement is to print a catalogue.

Fundraising (10 students) Students seek funding and/or sponsorship for the A&V exhibition. In the past, students have secured corporate sponsorship, sold A&V shirts, and organized bake sales.

Reception (5 students) The reception for Opening Night is a chance for students to relax, enjoy, and share with audience their experiences, give tours, and network. Students provide food and beverages for the guests. It is a great chance to show others what you have learned about your artist, his/her artwork, and the Miami art world. Students should solicit donations of food and drinks,  as well as coordinate music and other creative aspects for the opening reception.

A&V CATALOGUE COMMITTEE After the show is over, the catalogue remains. The catalogue should contain the introductory statements of the Deans and student-curators, the names of the artists, the student-curators and their respective majors, artist photo, artist information, and a concise artist biography. Photos of the artists, students, and class events should also be published. Sponsors should be recognized and a synopsis of the course should be included. The A&V catalogue is designed and printed by FIU Publications.

A&V Catalogue Committee Chair (1 student) The Chair is elected by members of the Committee. The Chair will schedule and manage Committee meetings.

A&V Catalogue (5 students) Students coordinate all aspects of the catalogue and collaborate with FIU Publications. Students collect and format all material for the catalogue.

Finalize Bios (1 student) Collect and edit the artists bios.

Dean’s Statement (1 student) Invite Dean to write introductory statement for catalogue and exhibition. Consider printing statement in large format for exhibition.

Student-Curators’ Statement (1 student) Draft and finalize an exhibition statement on behalf of class for catalogue and exhibition. Consider printing statement in large format for exhibition.

A&V PUBLIC RELATIONS COMMITTEE Students in the Public Relations committee must coordinate production and distribution of invitations and create and distribute press releases. Successfully communicating with local community is part of what makes the A&V exhibition rich and comprehensive. It is important to document student initiatives and to involve others by sharing thoughts and experiences.

A&V PR Committee Chair (1 student) The Chair is elected by members of the Committee. The Chair will schedule and manage Committee meetings.

Thank You Cards (1 student) Send thank you letters on behalf of class to individuals and institutions. Cards should be sent to contacts at institutions, artists, and other individuals that support A&V. Student can be creative with cards.

A&V Photographer (3 students, positions given to students with photographic interest) Generate photographic, video, and/or text documentation of class events. Upload images to social media sites.

Press Release (1 student) Draft a press release. Include dates, names of all artists, and quotes from artists and students. Allowance for view of press releases in advance by Honors College and Frost Art Museum.

A&V Facebook Page (1 student) Social Media is one of the most important promotional arenas for A&V. It enables A&V to reach out to a global community and keep people aware of our activities. It also allows A&V to create a project identity.

A&V Facebook Tagger
 (1 student) Become Friends with all members of class and A&V artists (if possible). Tag them in all photos as they are uploaded on A&V Albums. Every photo tag essentially creates a share of A&V. It shows A&V is active and enables others to find out about A&V.

A&V Instagram Account (1 student) Social Media is one of the most important promotional arenas for A&V. It enables A&V to reach out to a global community and keep people aware of our activities. It also allows A&V to create a project identity.

A&V Twitter Account (1 student) Social Media is one of the most important promotional arenas for A&V. It enables A&V to reach out to a global community and keep people aware of our activities. It also allows A&V to create a project identity.

 A&V Tumblr Account (1 student) Social Media is one of the most important promotional arenas for A&V. It enables A&V to reach out to a global community and keep people aware of our activities. It also allows A&V to create a project identity.

A&V Website (1 student – position given to student with web design experience) The website is the class’ virtual form of communication. General maintenance of website includes updating information. This can be best achieved by referring to the class syllabus and asking other students for general updates and their suggestions.

A&V Advertising (2 students) Submit A&V exhibition description and information to all local media outlets, social media sites and calendars. Find free listings for social, art, and university events.

A&V Exhibition Gallery Talk (2 students) Coordinate artists invitations to speak in gallery during A&V exhibition.

A&V Exhibition Tours Coordinate tours for public groups: FIU classes, public officials, MDCPS groups, etc.

A&V EXHIBITION COMMITTEE Students in the Exhibition committee oversee the physical installation of artwork and the related administrative tasks (all students are required to participate in the installation and de-installation of the exhibition).

Frost Art Museum Liason (1 student) The Frost Art Museum liaison facilitates the relationship between the Frost Art Museum, A&V student-curators and Professor Bailly a. Thoroughly understand student contract b. Answer any questions related to Frost Museum contract to the best of their ability c. Collect all signed student contracts and submit them to Frost Art Museum d. Collect logos, written statements, images and artist names for Frost Art Museum publications e. Maintain the class on schedule according to Frost Art Museum’s established timeline f. Must attend Installation/Deinstallation meetings and dates to make sure that contract specifications are followed by the students and the Frost Art Museum

A&V Curatorial Design (3 students) Layout location of artworks in exhibition space. Consider the size of artwork, the type of artwork, and what type of support technology is required (electrical, projection, sound, etc). Remember that artwork can also be displayed outdoors, if the proper FIU approval is granted. Make artwork “fit” into the given space. Consider the amount and limitations of exhibition space. Consider physical, as well as aesthetic qualities. ADA compliance. Safety/ security of the objects. Requirements of artwork including light levels, electricity, etc. Exhibition venue may limit organic materials or hazardous installations. Fire codes. No conservation to be undertaken without approval of lenders. Special requirements for lighting, temperature, humidity, electricity, or other special display equipment. Any special handling requirements or installation needs.

Host Institution Proposal Presentation (1 student) Prepare Powerpoint presentation of work to be presented in A&V exhibition. This presentation should focus on the ideas and reasons for the exhibition. This presentation will introduce the Frost Art Museum staff to all the artists in the exhibition, and provide a detailed explanation of the artwork to be exhibited.

List of Works (1 student) Generate a complete Exhibition List of Works from all artists Collect, format, and print written materials for exhibition (1 student) Generate labels for the exhibition with work information and a brief bio about the artist.

Audience Response (3 students) Prepare a Comment Book Transcribe the comments from Comments Book into a Microsoft Word document Devise an audience survey Present the results of the audience survey

Installation (5 students) Coordinate installation. Coordinate artwork delivery. Collect supplies for installation. Be available to assist all groups during installation. Reminder to artists to deliver works in a timely manner. Coordinate student/installers.

Condition Reports (2 students) Coordinate with Frost Museum Registrar to generate Incoming and Outgoing Condition Reports. Museums and galleries evaluate the condition of artworks entering and exiting their spaces in order to ensure that any damages are recorded and accounted for. This allows everyone to share a sense of responsibility for the artwork and to look out for the treatment of the works.

De-Installation (2 students) Coordinate de-installation. Reminder call for artwork pick up. Gallery to the condition in which we found it.

INSTRUCTOR GROUP (Faculty & 2 students) The instructor is the facilitator between the students, artists, exhibition venue, and university. a. Develop conceptual framework for exhibition b. Create tentative artist list c. Secure location & dates for exhibition d. Finalize list of artists e. Organize staffing/ responsibilities f. Create calendar g. Set timetable for completion of various stages of the projects h. Decision on the dates for the loan i. Ensures there is sufficient time to cover the shipment, receipt, unpacking, installation, exhibition period, dismantling, repacking and return shipment j. Act as liaison between S-Cs and artist k. Confirms with artists the delivery dates, pick up dates, transportation arrangements, insurance info, reception info, etc
